02 · Business process automation

Stop running your business through copy and paste.

When someone fills out a form, books an appointment, approves an estimate, or pays an invoice, the next step shouldn’t depend on someone remembering to do it. We connect your tools and automate the work between them.

Where the hours go

Small tasks, every day, forever.

Nobody plans to spend their evenings on admin. It accumulates. A new inquiry arrives by email, so someone types it into the CRM. The job gets booked, so someone adds it to the calendar and texts the customer. The job finishes, so someone builds an invoice from the same details that were typed in twice already.

Each step takes three minutes. Together they take a few hours a week, and they are exactly the steps that get skipped when things are busy.

Automation does not mean replacing your software. It means making the software you already pay for pass information along without a person in the middle.

Before and after

What changes in practice.

When this happensBy handAutomated
A form is submitted on your siteSomeone retypes it into the CRM when they get a minuteThe contact is created, tagged and assigned, and the customer gets a reply in seconds
An appointment is bookedA confirmation text is sent from someone’s phone, if they rememberConfirmation now, reminders before the visit, and a reschedule link
A site visit is finishedNotes sit in a notebook until the estimate gets written at nightDetails entered once on a phone become a formatted estimate
An estimate is acceptedThe same details are typed again into invoicing softwareThe invoice is created from the estimate and sent

What it connects to

Built around the tools you have.

We work with what you already use wherever possible. Typical connections include:

  • Website forms
  • CRMs
  • Google and Outlook calendars
  • Booking systems
  • Email and SMS
  • Accounting and invoicing
  • Payment processors
  • Spreadsheets
  • Phone systems
  • Custom databases
Our approach

Boring on purpose.

A good automation is one nobody thinks about. That takes a few habits most quick setups skip:

  • We map the process before touching a tool. Automating a messy process gives you a fast messy process.
  • We choose the simplest thing that works. Sometimes that is Zapier or Make. Sometimes it is a small piece of custom code. We explain the trade-off either way. (Our comparison of the main tools is a good primer.)
  • Failures are loud. When a step breaks, someone is told. Silent failures are how leads disappear.
  • A person stays in the loop where judgment matters. Sending a reminder is safe to automate. Sending a final price usually deserves a human glance.
Good first projects

If you are not sure where to start.

Instant inquiry replies

Every new lead hears back within seconds, with the next step spelled out.

Booking and reminders

Customers choose a time, and the confirmations and reminders send themselves.

Estimate to invoice

Details are entered once and flow through to the estimate, the invoice and the books.
